What to include on a plumbing invoice

License number
Most states license plumbers; putting your license number on the invoice builds trust and is required on paperwork in some states.
Service address and problem
Where the work was done and a short description of the issue you were called out for.
Service call or trip fee
If you charge a dispatch or diagnostic fee, give it its own line.
Labor and parts, separately
Break out labor from parts like valves, fittings, and fixtures, with quantities and prices.
Permits and disposal
Water heater and repipe jobs often carry permit and haul-away costs — list them.
Warranty and terms
Your labor warranty, any manufacturer warranty on parts, and when payment is due.

Tips for getting plumbing invoices paid faster

  • Write what you found and what you fixed in the notes. A clear “replaced failed pressure-relief valve” line beats “plumbing repair”.
  • Emergency and after-hours work should show the premium as its own line so the customer sees why the price differs.
  • On bigger installs like a water heater or repipe, collect a deposit when the customer approves the quote to cover equipment.
  • Invoice before you leave the driveway. Payment due on receipt is standard for service plumbing.

What should a plumbing invoice include?
Your business name, contact details, and license number; the customer and service address; an invoice number and date; any service call fee; labor and parts on separate lines; permits or disposal fees; tax where it applies; the total; your warranty; and payment terms.
Should plumbers charge sales tax on an invoice?
It depends on your state. Some states tax parts and materials but not labor, some tax both, and some tax neither. Enter your rate in the tax field if it applies, and check with your state revenue department or accountant for how plumbing services are taxed where you work.
Is this invoice template really free?

How do I save the invoice as a PDF?

Can my customer pay the invoice by card?
A PDF invoice can only ask for payment — your customer still has to mail a check or find another way to pay. With a free Redbud Way account you can send the invoice with a card pay link instead, optionally collect a deposit first, and the money is paid out to your bank about two days after the customer pays.
